Job Description

The Office Supervisor increases and maintains efficient daily operations of the front office staff in the dental office. The Front Office Supervisor performs a variety of duties in support of the Office Manager including assisting in the development of a staff of competent, customer service oriented employees who demonstrate professional behavior. To maximize the efficiency and effectiveness of patient care and office operations, the Office Supervisor works under the direction of the Office Manager, supervising the front office staff and ensuring cooperation, coordination, and teamwork between the office staff and the clinical team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Organize office operations and procedures, including but not limited to, bookkeeping, invoice processing, cash control, preparation of payrolls and other administrative duties as assigned by the Office Manager.
• Review office production and procedures to develop new ways to improve efficiency.
• Provide the Office Manager with recommendations to improve office operations, patient retention and profitability.
• Maintain advanced knowledge of software systems to compile, store and retrieve data for managerial reporting.
• Make recommendations to the Office Manager pertaining to maintaining efficient staffing levels.
• Assist in the recruitment, training and retention of staff.
• Work with the Office Manager to assess, investigate and resolve employee issues.
• Review and help adherence to the office budget.
• Supervise procurement of general office supplies and equipment.
• Assist in maintaining an office environment that ensures optimal patient care and customer service.
• Maintain collaborative working relationships within the front office staff to achieve goals.
• Assist Office Manager in maintaining a safe work environment by complying with all local, state and federal health and safety regulations and laws.
• Assist Office Manager in ensuring compliance with office and company policy and procedures.
• Perform other duties as assigned.

SUPERVISORY RESPONSIBILITIES:
• May supervise one or more subordinates with respect to daily job duties and staff assignments from the Office Manager. Will provide input to the Office Manager regarding performance evaluations for staff members under his/her supervision.
• Ability to read, analyze, and interpret documents such as business periodicals, professionals journals, technical procedure manuals, safety rules (OSHA), operating and maintenance instructions, and governmental regulations. Ability to communicate effectively and present information, both verbally and in writing, to patients and co-workers. Ability to write routine reports and business correspondence.

• High School Diploma or Equivalent required. AA or BA Preferred.
