Job Description

Summary: The Support Coordinator assists with collecting, tracking, and distributing patients leads from various avenues. This individual will be cross trained to support the Auditor, Patient Coordinator, Administrator, Quality Assurance, and assist new and existing patients via web chat and other online platforms. Essential Duties and Responsibilities include the following. Other duties may be assigned.

Essential Duties and Responsibilities include the following but not limited to:

  • Must be able to handle high volume inbound and/or outbound calls when deemed necessary
  • Assists new and existing patients via web chat, and other online platforms
  • Enters detailed patient information into dental software system (Dentrix/Dolphin) and Excel
  • Ability to track and distribute patient leads from various internal platforms
  • Exporting and distributing reports on various internal platforms
  • Listen to potential new or existing patients and understand the reason for their call, address all questions or guide them to the proper contact, and provide accurate and efficient responses
  • Offers marketing promotions and educates the appropriate callers on our in-house discount program
  • Ability to effectively communicate with scheduled patients to collect or request additional information needed for the upcoming appointment
  • Maintain a well-organized system of operation with appropriate team members
  • Completes projects and tasks assigned by Management team
  • Takes part in training and other learning opportunities to expand knowledge for individual growth and company initiatives
  • Strong team player willing to take direction, initiate business activities and work with management staff and peers
  • Self-starter able to work with minimal supervision/direction and ability to multitask
  • Professional demeanor and presentation
  • Meets daily, weekly, and monthly department goals set forth by management
  • Advises of ways to increase productivity and customer satisfaction

Job Requirements:

  • Ability to maintain confidentiality regarding patient records and service, both written and verbal. Adherence to HIPAA policy.
  • Identifies and resolves problems promptly; Uses proper reasoning skills.
  • Can effectively relay an idea or solutions to pressing issues; listens and gets clarification before executing a task; responds well to questions; demonstrates group presentation skills.
  • Writes clearly and informatively; edits work for spelling and grammatical issues; presents numerical data effectively; ability to read and interpret written information. Meticulous attention to detail and strong writing skills
  • Tactfully approaches others; reacts well under pressure; treats others with respect and consideration regardless of their status or position; accepts responsibility for own actions; follow through on commitments.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • College Degree or a High school diploma with 3 years of related experience and/or training.
  • Proficient in MS (Word, Excel, PPT, Outlook)
  • Effectively collaborate in a team setting to maximize quality and efficiency of department.
  • Basic communication and interpersonal skills necessary to interact appropriately with patients.
  • Professional, motivated, and comfortable in a high-growth environment.
  • Sound decision making and organizational skills.
  • Previous experience with an enterprise CRM system is preferred.
