Job Description

We are seeking an experienced and highly organized Dental Office Manager to join our team. The Dental Office Manager will play a crucial role in the efficient operation of our dental practice, ensuring seamless coordination between administrative and clinical functions. This position requires a proactive individual with excellent communication skills, strong leadership abilities, and a keen eye for detail.

Responsibilities:

  1. Oversee daily operations of the dental office, including scheduling, patient communication, and staff management.
  2. Manage patient appointments, ensuring optimal scheduling to maximize productivity while maintaining exceptional patient care.
  3. Coordinate with dental providers to ensure efficient utilization of clinical resources and timely patient care.
  4. Supervise administrative staff, providing guidance, training, and support as needed.
  5. Handle patient inquiries, complaints, and concerns in a professional and timely manner, striving to achieve high levels of patient satisfaction.
  6. Manage billing and financial transactions, including insurance claims processing, payment collection, and financial reporting.
  7. Maintain accurate patient records and ensure compliance with relevant healthcare regulations, including HIPAA.
  8. Oversee inventory management, ordering dental supplies, and maintaining adequate stock levels.
  9. Collaborate with vendors, contractors, and other service providers to support office operations and maintenance.
  10. Implement and enforce office policies and procedures to promote efficiency, compliance, and workplace safety.

Qualifications:

  1. Bachelor's degree in healthcare administration, business administration, or related field preferred.
  2. Minimum of 3 years of experience in a dental office management role.
  3. Strong leadership skills with the ability to motivate and manage a diverse team.
  4. Excellent communication and interpersonal skills, with a customer service-oriented approach.
  5. Proficiency in dental practice management software and Microsoft Office Suite.
  6. Knowledge of dental terminology, procedures, and insurance protocols.
  7. Detail-oriented with strong organizational and multitasking abilities.
  8. Ability to maintain confidentiality and handle sensitive information with discretion.
  9. Familiarity with California state regulations governing dental practices is preferred.
  10. CPR certification may be required.
